The Product Quality Administrator will manage team financial functions, vehicle policy compliance, vehicle inventory management and project support for the Product Quality team. This position will monitor and report overall department budget and expenses, support or lead department projects related to improving department efficiency and team wellbeing. Support department projects related to quality metrics and new model voice of customer initiatives.

Major Responsibilities

1st Priority - 30%    

Support the management of the department finances:

  • Monitor and report overall budget and expenses
  • Present monthly department accrual and support preparation of quarterly accrual
  • Facilitate purchase requisitions/order processing, including vendor management, invoice processing and PO/PR cleanup
  • Complete monthly Kia HQ invoice requests to ensure Kia NA is refunded for expenses 

2nd Priority - 25% 

Manage PQ vehicle inventory:

  • Prepare company vehicle and plate monthly reports
  • Run key track reports to support team member compliance with fuel reimbursement procedures and plate deviation procedures
  • Complete vehicle loans to other departments and plate requests to support department use for ride and rive and other events
  • Complete new vehicle orders and support Service Engineers in identifying vehicle and preparing to be turned in replacement

3rd Priority - 20% 

Support administrative projects to improve department efficiency and improve team working environment.

  • Manage team meeting preparation
  • Lead coordinator in development of content, programming and execution for Product Quality share site.
  • Lead coordinator for PQ Employee Engagement team project initiatives 

4th Priority - 20%

Provide administrative support and coordination for department projects as related to PQ initiatives in IQS, VDS, FRFT, Voice of Customer evaluations, Kia HQ visits and CR.  For example:  Support PQ customer clinics in the preparation of the vents and during the events in the collection of video and pictures for Kia HQ education

5th Priority - 5%

Provide miscellaneous administrative support to senior PQ management team


  • Bachelor’s degree or equivalent work experience required

Overall Experience

  • 5-7 years in experience in administrative capacity preferably within a large organization.  

Directly Related Experience

  • Experience reporting to high level executive preferred
  • Project management experience and background and experience working with project management tools and techniques desired
  • Demonstrated organizational skills required 

Position Requirements:

  • Occasional travel may be required domestically and/or internationally 
  • May need to work additional hours outside of normal business hours as required by the job, including weekends or holidays
  • Perform other duties as assigned
  • Possession of valid driver’s license a must
  • Basic knowledge of manual vehicle (non-automatic) operation desired
