Summary

Under supervision of the area manager, provides assistance to the Human Resources Talent Team supporting various administrative duties including reporting requirements (ad hoc, month and year-end), recruiting coordinator activities, invoice payments (PR/PO), and other administrative support as required, including filing and copying. This includes handling and maintaining information in a confidential manner.  Position will also support various professional level assignments, such as recruiting support, summer intern program coordination, onboarding and offboarding coordination, and organization of materials for team member meetings.  This position is not a business client group facing role but supports the internal HR department, specifically the talent team.

Major Responsibilities

1st Assist with the recruiting function by creating requisitions, posting positions internally and externally, scheduling interviews, screening and filtering through applications, conducting scripted phone screens, greeting candidates, and assist with onboarding functions as needed.  Initiate relocation for internal and external hires upon confirmation from HR Business Partners. 35%
2nd Support Talent Team functions and HR/Learning and Engagement team members by providing administrative support to the team and with various professional level assignments as required such as monitoring and responding to basic HR inquiries in HR inbox, creating meeting minutes, various administrative support on ad-hoc projects and initiatives. 35%
3rd Process Talent Team related invoices (such as relocation, temp services, and etc.), and create PR/POs and ensure timely processing, submit monthly accruals, including follow-up with Finance as required.  Process budget transfers as requested. 20%
4th Consolidate and submit weekly and monthly reports as necessary.  Reports typically created and validated by the HR Business Partners. 10%

 

Education/Certification

  • Bachelor’s degree or equivalent work experience required.

Overall Experience

  • Minimum 2+ years of administrative experience required.

Directly Related Experience

  • Minimum 2-5 years of HR support experience preferred.

 

Other Requirements:

  • May need to work additional hours outside of normal business hours as required by the job, including weekends or holidays.
  • Perform other duties as assigned.

Skills

Ability to work in a high-intensity, fast paced environment
Applicant Tracking System and/or HRIS experience a plus.
Confidentiality is paramount for the successful candidate. Ability to deal sensitively with confidential material and data.
Organization and ability to plan workload.
Strong customer service focus, good written, verbal and time management skills.
Strong PC Skills: Microsoft Office Tools: Word, Excel, Power Point and Office 365.
Requires ability to multi-task amongst daily duties as well as special projects.
