Summary

The Corporate Administration Manager will be responsible for the development and administration of all department policies and procedures and all facets of corporate administration, including contract administration and vendor management.  Will manage the major Corporate Administration vendors, including travel, mobile devices, insurance, mail room and reception, the café, and the gym.  This role is also responsible for the project management of corporate events and assisting with Team Member Meetings. The position will plan and maintain the departmental budget, control expenses, and work with Kia’s Legal Assistance Request Portal (LDAR). The Corporate Administration manager will lead the company insurance renewal process and will complete other ad hoc items and projects. 

Major Responsibilities

1st Priority - 50%

Responsible for managing the corporate administration procedures and vendors including mail room, , cafe, travel, cell phones, and other corporate services.  

2nd Priority - 15%

Manage Corporate Events including but not limited to: Team Member events, community related events held at the Kia Corporate Office and assist as a resource for departmental events as needed.

3rd Priority - 15%

Plan, track and manage expenditures in accordance with established annual budgets.

4th Priority - 5%

Assist with the management of company’s general insurance policies, including the broker relationship as it relates to given insurance policies.  

5th Priority - 15%

Ad hoc items including COVID-19 management, subscription management, office supplies, shipping, asset tracking, preparing team member communications, Intranet and Teams posts, management of General Affairs systems, support of Regional Administrators and TTC Instructors.

Education/Certification

  • Bachelor’s degree or equivalent work experience required. 

Overall Experience

  • 0-3+ years of staff management experience
  • 5+ years of vendor or contract management experience in a corporate environment required
  • Supervision experience of multiple vendors and/or staff members required
  • Experience with budget preparation and reconciliation, including tracking expenses required.
     

Directly Related Experience

  • 7+ years of experience in a corporate environment required 
  • Experience with Administration and/or Event planning, including contract negotiation preferred
  • Experience in policy writing and implementation preferred.
     

Skills

Proficient in MS Office, including Word, Excel, PowerPoint and Outlook.
Excellent written and oral communication.
Advanced knowledge of project planning and management.
