Summary

Oversee all daily regional office operations including regional office management, provide analytical and administrative support to the VP/Regional Director, Regional Staff Managers, and team members. The position encompasses wearing many hats, supporting the team and office space, acting as the “voice of the Region” being the liaison between KMA groups, i.e. Facilities, Finance, Marketing, Sales Ops, HR, regional team members, Autoever, and building management. Manage administrative tasks and participate in the development and implementation of office administrative brand standards.

Major Responsibilities

Priority 1st - 50%

Provide support to Regional Director and Regional staff managers by handling analytical and administrative tasks daily. Assist other departments as needed with reports and mailings to ensure achievement of Regional goals are met.  Create and initiate correspondence and memoranda.  Serve as a liaison to others, both within and outside the department and/or company.  Carry out special projects and assignments from coordination and planning to execution.  Pro-actively manage multiple calendars (marketing, sales, regional, etc.) and take action to resolve conflict or improve efficiencies.  Drive and maintain positive, results oriented work environment by building partnerships and modeling teamwork.

Priority 2nd - 20%

Point of contact for property management vendor.  Collaborate with corporate facilities team to manage and coordinate facility and administrative support services for the office including mail, record management and other office facility support services keeping the office running efficiently. Oversee all office billing, accounts and budget, ensuring accuracy and that company procedures are followed.

Priority 3rd - 10%

Coordinates all meetings and most travel for Director/ Managers/ Dealer Council & field team members.  Coordinate all Korea Trip details with KMA departments and dealers. Point of contact for travel arranging, concerns and issues.

Priority 4th - 10%

Coordinate with IT department on all office equipment.

Priority 5th - 10%

Coordinate New Hire process with HR team and Managers.  Prepare, review and maintain the regional budget.

Handle other administrative tasks and reporting as needed. 

 

Education/Certification

  • BA/BS degree or equivalent work experience is required.

Overall Experience

  • 5+ years administrative experience required
  • 10+ years administrative experience preferred

Directly Related Experience

  • 2-5 years projects management experience preferred
  • 3 years in automotive industry desired

Skills

Advanced written and verbal communication skills and mainframe PC skills including Excel, PowerPoint, and Word software.
Organization
